Volunteer

The Book Project is open Tuesdays, Wednesdays and Thursdays from 10 a.m. to 3 p.m. Volunteering time is flexible, as often and for as long as is convenient. However, for the sake of continuity, we kindly request that whenever possible a commitment is given – of once a week, once every two weeks, or once a month. Volunteers are required to adhere carefully to the rules and policies set by the World Bank.

Who can apply?
Criteria
  • All members of the World Bank Group – employees, spouses, partners, retirees, children 16 years and above.
  • From every country represented in the World Bank.
  • Speak English as a first, or a second, language, or not at all.
  • Have just arrived in the United States, or have lived here for many years.
  • Will receive training on the job.
  • Use or add to their skills, meet new friends or get back with old friends.
Common Tasks
Description

There are a variety of tasks in which volunteers participate. After an initial introduction to the work done by the Book Project and some training, all volunteers do the following tasks at some point, as these constitute the bulk of the work:

  • Unpack boxes and sort the books according to level and subject matter – sorting may call on a fair level of judgment.
  • Stamp the sorted books with the WBFN Book Project logo.
  • Pack the books into boxes according to pre-prepared labels which indicate the name of the school/institution and the level and subject matter, or for storage.
  • Assemble new boxes, and/or tear down unusable boxes.
  • Participate in Book Fairs which raise funds for new textbooks.
Position Descriptions
Board of Directors
  • The directors serve for a two-year terms.
  • The Board manages, controls, and directs the affairs of the Book Project.
  • The Board appoints the Officers of the Book Project.
  • Directors attend Board meetings as called by the Co-Chairs or one-third of the members of the Board.
Co-Chairs
  • The Co-Chairs are appointed by majority vote of the Board of Directors.
  • The Co-Chairs perform all duties as required by the Board of Directors.
  • The Co-Chairs take the chair at all Board Meetings.
  • The Co-Chairs lead the project, overseeing all aspects of the process; managing relationships and resolving issues with recipients, sponsors, and the shipping company; and is the link between the World Bank Family Network, the World Bank staff and the volunteers of the Book Project.
  • The Co-Chairs are ex-officio members of WBFN Board.
Secretary
  • The Secretary is appointed by majority vote of the Board of Directors.
  • The Secretary performs all duties as required by the Board of Directors.
  • The Secretary is responsible for all administrative matters including correspondence, scheduling and notifying members of meetings, taking minutes and reporting on the proceedings, preparing reports, special projects and activities, conducts research related to the purchase of books and handles the arrangements with the publishers.
Treasurer
  • The Treasurer is appointed by majority vote of the Board of Directors.
  • The Treasurer performs all duties as required by the Board of Directors.
  • The Treasurer is responsible for all accounting, including financial transactions – deposits and disbursements, maintaining proper records, accounting for all taxes, and financial reporting to the Board and as required.
Donor Coordinators
  • Source used text/library book donations by contacting schools, school systems and other potential donors including individuals.
  • Solicit book donations for specific requests e.g. French books.
  • Coordinate with the Warehouse for pickups, where appropriate, managing storage and space allocation.
  • Create and maintain relationships with donors.
  • Handle correspondence to include thank you letters and donation certificates for tax purposes.
  • Maintain a database of donors.
  • In coordination with the packing room, manage inventory levels of books.
  • Coordinate the delivery of skids with the Warehouse Manager; organize warehouse field trips to inventory the contents of newly arrived large donations.
  • Maintain warehouse database.
Warehouse & Packing Room Coordinator
  • Supervise the unpacking, sorting, and storage of books.
  • Organize the packing of books to reflect the book requests.
  • Assemble shipments liaising with the Shipping Coordinator.
  • Monitor the warehouse stock of books for future needs.
Book Fair Coordinator
  • Identify from donations what books cannot be sent overseas.
  • Select appropriate books for the Book Sale.
  • Monitor books for sale at the Book Project.
  • Arrange for book cases, tables etc. to be set up in the MC.
  • Advertise appropriately on the “Kiosk” website of the World Bank Intranet.
  • Account for cash received from the sale.
